Bringing your team into the system can feel like inviting all your friends to a big party! 🎉 In this guide, you’ll learn how to upload employees into the platform all at once. Let’s get started!
To upload employee data in bulk, you’ll need an Excel file.
Good news: we’ve prepared a sample template for you—it’s waiting at the end of this article!
Once you download the Excel template and fill it according to the column formats, follow this path:
Admin Panel > Invite Employees > Bulk Import

💡 Note: You can assign more than one group to a single employee.
Employee Group: If an employee belongs to multiple groups, separate them with commas.
Example: Software Development,Backend Development
Order: Groups are arranged top-to-bottom and left-to-right.
Example: Backend Development is considered a subgroup of Software Development.
Unique Names: Each group name must be unique. For example, there can only be one Operations group.
Defining Group Type: Use the "~" symbol to specify a group type.
Example: Software Development~Department,Backend Development~Team
Using "#": Employees won’t see any characters after a "#" in group names. This allows multiple groups with the same visible name.
Example: DivisionA,Finance#DivisionA and DivisionB,Finance#DivisionB represent two separate Finance groups.

Once your Excel file is ready:
Drag & drop it into the bulk upload area.
If you want the system to send invitation emails immediately, select the “Send Password Creation Email Now” option.
💡 Note: The invitation link is valid for 24 hours. If users don’t activate their accounts in time, you’ll need to resend the invitation.
If you check the “Send Password Creation Email Now” box, users will instantly receive an activation link.
If you’re just testing the system, leave it unchecked.
💡 Important: If SSO (Single Sign-On) is active, password emails will not be sent. These users will log in directly via SSO.
Follow this path to check the status of your bulk upload:
Administration > Background Tasks
Here you’ll see:
The progress of your upload.
If successful, you’ll see “Success” in the Result column.
If you see “Fail,” there may be an error in your file—check your data and try again.
Every new active user consumes one license.
If you exceed your license limit, you cannot add more users. To increase licenses, contact support@feedback4e.com.
Passive users are not billed. When someone leaves the company, make sure to deactivate their account.
Every user must have a unique email address.
If you see a “This email already exists” error:
Reactivate the passive user, or
Update that user’s email address.
