Bulk Employee Upload: Ready to Move Your Team to the System? 🚀

Adding your team to the system can be as fun as inviting all your friends to a party! 🎉
In this section, we’ll show you how to upload all your employees to the system in one go. Let’s get started!

Step One: Preparation! 📝

To upload employee information in bulk, you’ll need an Excel file. The good news: We’ve prepared a sample template file for you, which is attached to this email and ready for you to fill in.


Fields in the Excel Template

Required Fields (Must-Haves!)

  • Email
  • First Name
  • Last Name
  • Position
  • Group

Note: You can enter more than one value in the Group field.


Group Hierarchy and Naming Rules

Employee Group:
If an employee belongs to multiple groups, separate the groups with commas.
Example: Software Development,Backend Development

Order:
Groups are ordered from top to bottom and left to right. For example: Backend Development is considered a subgroup of Software Development.

Unique Names:
All group names must be unique. For example, there can only be one “Operations” group in the system.

Specifying Group Type:
Use the ~ symbol to specify the group type.
Example: Software Development~Department,Backend Development~Team will create two group types: Department and Team.

Using the # Symbol:
When a group name contains the # symbol, employees will not see the characters after it. This feature helps differentiate groups with the same name.
Example:
DivisionA,Finance#DivisionA and DivisionB,Finance#DivisionB represent two separate Finance groups with the same visible name but different records.


Optional Fields (Extra but Awesome!) 🌟

  • Employee ID Number
  • Manager Email
  • HR Business Partner Group
  • Title
  • Start Date
  • Matrix Manager Email
  • Language (tr-TR or en-US)
  • Is Group Manager? (1 if yes, 0 if no)
  • LDAP Username
  • Location

💡
Format Notes for the File ;

  No blank rows in the middle of the file.

  Unique email required for each user.

  Follow exact date format (MM/DD/YYYY).

  For groups, follow naming & hierarchy rules (unique names, commas for multiple groups, ~ for group type).

  Do not change the Excel cell formats (especially dates and numeric fields) to prevent upload errors.
